Definitions

Tenant

A tenant is a group of user accounts belonging to the same company. Certain settings, such as the operation mode, apply to the entire tenant.

User

A user is an account within a specific tenant that can log in to Workshaker.

Work Order

A work order defines a task that must be performed by a user at a specific location.

Time Ticket

A time ticket is the result of executing a work order. It contains information such as:

  • Task start time
  • Task end time
  • Pause time
  • Used materials and quantities

Location

Location data is a combination of:

  • User ID
  • Latitude and longitude
  • Device speed
  • Device battery status
  • Location accuracy

Operation Modes

Workshaker can operate in two different modes depending on the tenant settings.

Normal Operation Mode

In normal operation mode, Workshaker is used to:

  • View work orders
  • Submit time tickets

In this mode, no sensitive personal data is collected. The only data sent to the system is related to the time tickets created by the user.

Track & Trace Mode (T&T Mode)

When the tenant enables Track & Trace (T&T) mode, Workshaker operates the same as in normal mode but additionally requests permission to access the user’s location, even when the app is closed or not actively used.

If the user grants permission, location data will be sent periodically to the Workshaker backend services. This allows administrative employees of the tenant to compare location data with recorded time tickets.

This functionality helps the tenant’s company:

  • Verify recorded working hours
  • Ensure accurate administration
  • Perform correct invoicing to customers

Although T&T mode is enabled tenant-wide, users can individually decide not to share their location.

If location permission is denied:

  • Workshaker continues operating in normal mode
  • No location data will be sent

Users can disable location sharing at any time by logging out and logging in again without accepting the location permission request.

Data Security

Goldenshaker takes appropriate technical and organizational measures to protect data.

  • Location data is never shared with third parties.
  • Data transmission always takes place over a secure HTTPS connection.
  • Location data is stored securely within the European Union.

Data Retention

Location data is stored indefinitely unless a deletion request is submitted.

To request deletion of location data, please contact us using the contact information above and include:

  • Your customer number
  • The user IDs for which location data should be removed
  • The time period that should be deleted

Third-Party Subprocessors

Goldenshaker uses IT infrastructure from the following subprocessors. These parties do not receive location data, but they provide infrastructure services used by Workshaker.
